As the new year begins, starting off on the right foot is important. Here are tips to help you do so:

  1. Avoid repeating past failures. Understanding where you've been and how you got here is critical to making the appropriate changes to your processes.

  2. Set reasonable and specific goals. The surest way to fall short of your goal is to make your goal unattainable. It is also important to understand what the most important goal is to achieve. Moving one thing forward a mile is better than ten things ahead an inch. Being selective is a good thing.

  3. Create a plan. Once you set your goals, work backwards so that you know exactly what you need to do to get where you want to go. It will also help set guideposts and milestones to indicate where you are going.

  4. Be sure your goals are measurable. What gets measured gets done. Keep track of your success and achievements along the way. Recognize those who've contributed, which will keep them motivated.

  5. Make course corrections if necessary. If you find yourself heading in the wrong direction, don't hesitate to course correct. Business needs and markets change frequently. It's okay to adjust your goals as you go.

  6. If things aren't going according to plan, ask for help. There's no shame in admitting that you need assistance.

Customer documents come in all shapes and forms. Ingesting documents into your document processing system is foundational to a successful document solution. Ingestion needs to be easily configurable, secure, and flexible. Tromba Technologies utilizes Kofax TotalAgility (KTA) for its import capabilities. Kofax TotalAgility is flexible, secure, and completely customizable to fit your needs.


KTA can import documents using email box monitors to monitor multiple email boxes. The email box configurations include POP3, IMAP, and EWS email configurations. The benefit of this is the ability to fit any requirement when monitoring different email boxes. You can watch Gmail or Exchange email boxes with equal ease. It also allows for the body of the email and the attachments to be configured differently. Our customers are not locked into handling documents one way or another. They can set the requirements.


Similarly, with email box monitors, the Kofax software can also import documents from file directories. Many customers utilize file mover systems to move files from an external source into their internal network or just move them around their systems. File folder importing can help alleviate the reliance on moving files multiple times.


Kofax also allows the ability to import faxes. We can import BISCOM, RightFax, or KCS faxes. This allows for added pliability of your solution if you are using any of these technologies.


Kofax TotalAgility users can also use custom-built self-service portals. Vendors and outside customers can use the portals to ingest their own documents and upload them to the system. This allows your customers to be involved in the process rather than relying solely on you.


Webservices are another method of ingesting documents. Kofax TotalAgility can handle SOAP, WCF and RESTful services. It is very helpful for getting data into TotalAgility and getting information from other places, like address information from the Postal Service.


Scanning is also a tried and true method of getting your documents into Kofax TotalAgility. Kofax allows for many different scanners that can be customized to fit your needs. There is also the ability to do a file import, browse out to a file directory, and select the document you wish to import into your solution.


All of these import methods can be configured to carry metadata with them when they are being imported. For instance, you can indicate the source which the documents came from. So, if you have multiple import methods, you can discern where the documents have come from. It also allows the capture of other import information that might be useful to the capture process, like where it came from or the file's name. This adds greater efficiency and accuracy to your downstream processes.


Kofax also allows messages and documents to be securely archived after they are imported. This way, nothing gets lost, and the data can be easily re-imported if needed.
