Kofax TotalAgility is a relatively newer capture platform than Kofax Capture and Kofax Transformation Module. TotalAgility can do everything and anything currently done by Capture and Transform Module. Companies that have been working with Kofax for years are working on migrating their legacy Kofax applications to KTA platforms. There could not be a better time to upgrade to KTA with the help of our experts.

Kofax Capture

Kofax Capture is an open capture platform for data capture and classification extraction. It can do OCR, OMR, barcodes, handprint, and any other extraction you need. Delivering the correct information to corporate repositories and applications for quicker and more accurate decisions. Capture integrates with any other enterprise software through Kofax Import Connector. It can import emails, web service calls, mobile devices, XML, faxes, and many more formats. With tight integration with virtually all capture channels and your organization's record system, you gain control over the critical content that drives business decisions. Kofax Capture will integrate unlimited software solutions to bring Enterprise-class document capture to your organization.

Kofax Transformation Modules

Kofax Transformation Modules (KTM) is an add-on to Kofax Capture. It uses a lot of machine learning and artificial intelligence to extract and classify the data just imported to Capture. It also improves information visibility by using validation forms. It is customizable, so you can add buttons and tabs to fit your needs. KTM has trainable document separation, which reduces document classification, separation, and data entry costs. KTM also has trainable document extraction, so while you process documents, KTM will learn. This way, you'll have better results every time you extract or separate documents. KTM will also remove manual validation and image keying.

Kofax Capture has Scan and Import, Kofax VRS, and Kofax Transformation. Kofax VRS is another add-on to Kofax Capture. Kofax VRS Elite is a patented image enhancement and perfection platform—all these necessary connectors for exporting your data when using Capture.

Why you should migrate to Kofax TotalAgility

Kofax TotalAgility (KTA) has all those same features integrated into one platform with even more to offer. KTA has process orchestration, dynamic case management, business rules, web and mobile-ready forms, and third-party integrations.

KTM, as mentioned, is customizable by adding buttons and tabs, but KTA takes it to another level. KTA can change the color of those buttons. But in all seriousness, you can add RPA to it. This means you can add electronic signatures, mobile web SDKs, and more all in one integrated platform. KTA customizations are all done through a low-code or no-code type of configuration. And KTA is a multi-tenant model. There is no need for each tenant to have their own separate platform when you can now have all the different tenants meet their needs with one integrated platform.

A significant feature of KTA is Kofax's evolving Cognitive Capture, the most recent additions being sentiment analysis and entity recognition. Sentiment analysis allows KTA to read a document and tell you if there's a good, bad, happy, or sad sentiment to a piece of text. KTA can also identify all the names, currencies, addresses, and more with entity recognition. Cognitive Capture is a part of Kofax's cognitive document automation (CDA). Kofax CDA uses artificial intelligence and OCR to automate the acquisition, understanding, and integration of documents needed in your business processes. CDA extends the capability of RPA, allowing your automation to evolve to your business needs. The AI functions in Cognitive Capture allow for Omni Capture Capability. You get information from any source: paper, fax, mobile devices, documents scanned in from MFPs, or coming in through email. You could be reading from a database or using RPA to scrape websites and portals.

But that is just the information ingest stage. Now for the digest. Very similar to Kofax Capture and KTM but enhanced by Kofax's AI abilities. Machine learning takes over document classification, entity recognition, and sentiment analysis. KTA can classify that document information, extract relevant results, and validate it against your backend systems. After the data is digested, it's time to integrate it with your ERM, your CRM line of business systems currently using. KTA can integrate with anything and everything, web service, database calls, flat files, or even RPA to input directly in the portals, that there is no API available. As Kofax TotalAgility has Omni Capture, it also has Omni Export creating a perfect environment for AI integration. KTA is an entirely web-based capture automation for batch-processing document classification, doc typing, and folder-level indexing.

Documents in KTA live through a lifecycle driven by business rules, which could be legal or SLAs you must meet. So instead of just using Capture and KTM and sending the data onto your workflow systems, you have this all in a single place. Your business can eliminate the number of integrations you have captured. KTA can also capture additional documents at the beginning, middle, or end of the process. With this feature comes Granular Security, so no matter where the documents are in the process, they are fully secured. This allows HR, legal, medical, and other regulated professions to do their work while upholding internal PHI requirements, HIPPA requirements, and more.

Kofax analytics inside KTA allows for better monitoring and reporting. In the platform is a dashboard that can show in-depth activities such as session time by a tenant, where they have it opened, and if they are working on an item. You can see how long a document is sitting in specific queues, how long it's sitting in certain work activities, how many are processing, and so much more. This allows for great insight into the entire process that isn't accessible with Capture and KTM.

Migration

Kofax Capture and Kofax Transformation Modules are legacy products that may not be robust enough to fit your company’s requirements. Kofax TotalAgility will migrate your current KTM project to maintain your classification and extraction sets. This saves time and effort when moving an existing technology stack. After moving your project over to Kofax TotalAgility, you will need to familiarize yourself with the new features and potentially retrain your documents. Tromba Technologies supports your migration journey and keeps your business moving in the right direction with your automation process strategy. Tromba Technologies has been providing Kofax software services for two decades, and our experts are here to help with all your Kofax and automation needs.

Spring Cleaning

Spring is here, and it is time to review your IT needs. After the cold months of winter pass, the time is here to throw open the windows, sweep away the dust and dirt, and start fresh on all your IT processes. However, what does that look like? What steps need to be taken? What pitfalls should be avoided? Tromba Technologies can help fulfill your spring-cleaning needs.

One of the first steps in Spring cleaning is the evaluation task. As the years go by, the old processes and procedures are carried forward even if doing so requires a large amount of work, significant upgrades, or more money to support. These processes may be left over from bygone areas or requirements. If so, they need to be reevaluated. Also, these systems are often incongruent and need more integration, so it's difficult for managers and users to keep which tools serve which purpose. Having a critical eye can help.

Tromba Technologies has worked on converting and upgrading legacy software for decades. We have a cloud-based solution that can revolutionize your old processes. Our TrombaAI platform leverages award-winning software to help you process your documents and data accurately and efficiently. It is built on Kofax Total Agility, recognized as an industry leader in process automation.

It's also important to elicit feedback from your users and customers. They interact with your system daily and intimately know its pain points. You may understand how it is supposed to work. However, they understand how it does work and how it feels. Take the opportunity to talk to staff and see if there are any obvious glaring bottlenecks you could alleviate or help alleviate.

The TrombaAI platform is also a diverse solution that can be built to fit your requirements. It is not a one-size-fits-all solution but can be melded to fit your enterprise needs. The designer tool looks and feels like Visio, which allows for maximum customization while also being easy to use. Mapping out and then adjusting your processes should not take Herculean efforts or copious amounts of time. We all know that business moves faster than that.

Data Analysis is also another hallmark of spring cleaning. Data analysis can vary in its application. It may be as simple as identifying and cleaning up old or incorrect data. Or it could be more drastic, for example, when you have to migrate and protect your data.

Tromba Technologies offers data conversion services as well. Our development staff designed our tools in-house and have evolved to meet the demanding challenges of large and small data conversions. We have a 100% customer satisfaction rate with a less than 1% exception rate.

"The very notion of spring cleaning in a cloud business actually worries me. By its very nature, it implies that there are things that can be put off – or even forgotten – for another year. I encourage everyone to resist that notion. - George Papayiannis, co-founder and CTO, Vena Solutions.

At Tromba Technologies, we echo Mr. Papayiannis' thoughts. Delays generally cause things to be more expensive or more difficult to achieve. You may save yourself a pain in the short term, but never in the long term. Understanding the risk that delaying action imposes is another part of the spring-cleaning process.

Tromba Technologies is experienced and dedicated to helping you with your spring-cleaning needs. We can handle and migrate your data. Our solution is cloud-based and built on industry-leading software. We have many videos on our website, trombatech.com, and our LinkedIn profile highlighting different industries and solutions we can provide to your business. Let us help you on your journey to a better solution and environment.

Understanding what is meant by Hybrid vs On-Premise vs Cloud is one of the first steps in understanding which environment is right for you. When choosing an innovative business platform, it helps you understand the environment you will need to be the most successful. In this post, we define each one of these, identify the pros and cons of each environment, and then let you know how our TrombaAI platform can be adjusted to meet those needs.

An On-premise solution is a more traditional way of standing up a software solution. Everything in this method is housed in your environment. On-premise allows for deep integration into a business's existing infrastructure. One of the benefits of selecting an on-premise solution is that you have better control over the data and your environment. Everything is configured in your environment under your policies and rules. However, that means that everything is dependent on your resources.

Advantages of using On-Premise solutions:

  • Better Control and Data Privacy – With on-premise solutions, you always have access to your infrastructure and systems. It already falls under your existing security policies without any further customization required.

  • Ability to customize – Each company has its own unique challenges to deal with. On-premise allows each company to customize its solution around its business.

  • Uninterrupted Use and High Performance – it can operate without an internet connection. Therefore disruptions in internet service don't interrupt your business.

Some disadvantages of On-Premise solutions:

  • High Installation Costs – On-premise software often requires high initial installation costs and can have additional costs for equipment, supplies, software maintenance, and updates.

  • Time-Consuming – On-premise solutions involve your resources, including staff and hardware, to be successful. Conflicting priorities throughout companies can stretch those resources thin and therefore take longer to start up or complete.

Cloud solutions are exactly what they sound like. They are on a cloud server which is accessed via the internet. Cloud applications allow for anywhere use—whether through a responsive web UI, mobile application, or other methods such as email integration. Cloud solutions can also be divided into private or public clouds. Public cloud solutions involve public clouds that multiple companies can take advantage of. These are usually cost-efficient and ready to go. However, you don't own that cloud server, so it comes with concerns. Private clouds are generally more expensive, but they are indeed yours. Nobody else would have access to it.

Advantages of cloud-based solutions:

  • Cost-Effective – It eliminates the capital expense of purchasing computer hardware software and setting up data centers.

  • High Speed and Performance– Most cloud computing services are available on-demand and self-service. It's available when you need it with a few clicks. It can be run on a series of servers that will increase performance.

  • Improved Reliability and Security– Cloud computing allows for multiple sites, which allows for redundancy, making built-in data backups and business continuity easier. It also has a broad set of policies and controls that strengthen the safety of your data and applications from potential threats.

Disadvantages of cloud-based solutions:

  • Vendor Lock-In – Migrating from one cloud solution can be complicated and time-consuming. Once you pick your vendor, they may not be able to fully integrate or migrate to a different cloud solution should you decide to switch.

  • Minimal Control – Since the service provider owns and controls cloud infrastructure, you have less control from a hardware perspective.

Hybrid environments are a combination of on-premise and cloud-based solutions. Many organizations turn to hybrid technology as it provides the same benefits of an on-premise environment with the additional capabilities offered with cloud applications.

Advantages of Hybrid Solutions:

  • Cost-Friendly – It allows you to determine how you want to spend your resources. If you don't have the available resource, it enables you to utilize the ones you do rather than having them sit idle.

  • Better Control – Allows you to utilize a private infrastructure for more sensitive data that you want better control over.

  • Increased Flexibility – It allows you to access the cloud when you want it. It also allows you to take advantage of fail-over systems if and when they become necessary.

  • Easy to Transition – The hybrid cloud allows you to migrate to the cloud gradually by phasing in workloads over time.

Disadvantages of Hybrid Solutions:

  • Infrastructure Compatibility – In order to accommodate both on-premise and cloud-based solutions, you may be resorting to different technologies to make it work.

  • Implementation – Setting up a hybrid cloud requires strong network capabilities, storage, and servers. Making sure that all these things are available can be costly.

Tromba Technologies lean on our decades of experience implementing different solutions. Our solutions can be customized to fit any environment that you are considering. Our TrombaAI solution is a cloud browser-based solution that can be implemented in your environment or ours. With Tromba's Intelligent Automation solution, there is only ONE vendor to contact, and that is Tromba.

FileBound products help bridge the gap between on-premise functionality and cloud capabilities regarding advanced document workflows and safe, secure storage of your data and documents. Our FileBound offerings are similarly browser based but are easily configured to be in any environment necessary. This includes access to the full ECM repository and electronic forms using FileBound Enterprise.

Tromba Technologies strives to exceed your expectations no matter the environment or requirement. We have many videos on our website, trombatech.com, and through our LinkedIn profile that highlights different industries and solutions we can provide to your business. So now that you have the facts about the environments out there, you can choose the right solution for you.
