Spring Cleaning

Spring is here, and it is time to review your IT needs. After the cold months of winter pass, the time is here to throw open the windows, sweep away the dust and dirt, and start fresh on all your IT processes. However, what does that look like? What steps need to be taken? What pitfalls should be avoided? Tromba Technologies can help fulfill your spring-cleaning needs.

One of the first steps in Spring cleaning is the evaluation task. As the years go by, the old processes and procedures are carried forward even if doing so requires a large amount of work, significant upgrades, or more money to support. These processes may be left over from bygone areas or requirements. If so, they need to be reevaluated. Also, these systems are often incongruent and need more integration, so it's difficult for managers and users to keep which tools serve which purpose. Having a critical eye can help.

Tromba Technologies has worked on converting and upgrading legacy software for decades. We have a cloud-based solution that can revolutionize your old processes. Our TrombaAI platform leverages award-winning software to help you process your documents and data accurately and efficiently. It is built on Kofax Total Agility, recognized as an industry leader in process automation.

It's also important to elicit feedback from your users and customers. They interact with your system daily and intimately know its pain points. You may understand how it is supposed to work. However, they understand how it does work and how it feels. Take the opportunity to talk to staff and see if there are any obvious glaring bottlenecks you could alleviate or help alleviate.

The TrombaAI platform is also a diverse solution that can be built to fit your requirements. It is not a one-size-fits-all solution but can be melded to fit your enterprise needs. The designer tool looks and feels like Visio, which allows for maximum customization while also being easy to use. Mapping out and then adjusting your processes should not take Herculean efforts or copious amounts of time. We all know that business moves faster than that.

Data Analysis is also another hallmark of spring cleaning. Data analysis can vary in its application. It may be as simple as identifying and cleaning up old or incorrect data. Or it could be more drastic, for example, when you have to migrate and protect your data.

Tromba Technologies offers data conversion services as well. Our development staff designed our tools in-house and have evolved to meet the demanding challenges of large and small data conversions. We have a 100% customer satisfaction rate with a less than 1% exception rate.

"The very notion of spring cleaning in a cloud business actually worries me. By its very nature, it implies that there are things that can be put off – or even forgotten – for another year. I encourage everyone to resist that notion. - George Papayiannis, co-founder and CTO, Vena Solutions.

At Tromba Technologies, we echo Mr. Papayiannis' thoughts. Delays generally cause things to be more expensive or more difficult to achieve. You may save yourself a pain in the short term, but never in the long term. Understanding the risk that delaying action imposes is another part of the spring-cleaning process.

Tromba Technologies is experienced and dedicated to helping you with your spring-cleaning needs. We can handle and migrate your data. Our solution is cloud-based and built on industry-leading software. We have many videos on our website, trombatech.com, and our LinkedIn profile highlighting different industries and solutions we can provide to your business. Let us help you on your journey to a better solution and environment.

Understanding what is meant by Hybrid vs On-Premise vs Cloud is one of the first steps in understanding which environment is right for you. When choosing an innovative business platform, it helps you understand the environment you will need to be the most successful. In this post, we define each one of these, identify the pros and cons of each environment, and then let you know how our TrombaAI platform can be adjusted to meet those needs.

An On-premise solution is a more traditional way of standing up a software solution. Everything in this method is housed in your environment. On-premise allows for deep integration into a business's existing infrastructure. One of the benefits of selecting an on-premise solution is that you have better control over the data and your environment. Everything is configured in your environment under your policies and rules. However, that means that everything is dependent on your resources.

Advantages of using On-Premise solutions:

  • Better Control and Data Privacy – With on-premise solutions, you always have access to your infrastructure and systems. It already falls under your existing security policies without any further customization required.

  • Ability to customize – Each company has its own unique challenges to deal with. On-premise allows each company to customize its solution around its business.

  • Uninterrupted Use and High Performance – it can operate without an internet connection. Therefore disruptions in internet service don't interrupt your business.

Some disadvantages of On-Premise solutions:

  • High Installation Costs – On-premise software often requires high initial installation costs and can have additional costs for equipment, supplies, software maintenance, and updates.

  • Time-Consuming – On-premise solutions involve your resources, including staff and hardware, to be successful. Conflicting priorities throughout companies can stretch those resources thin and therefore take longer to start up or complete.

Cloud solutions are exactly what they sound like. They are on a cloud server which is accessed via the internet. Cloud applications allow for anywhere use—whether through a responsive web UI, mobile application, or other methods such as email integration. Cloud solutions can also be divided into private or public clouds. Public cloud solutions involve public clouds that multiple companies can take advantage of. These are usually cost-efficient and ready to go. However, you don't own that cloud server, so it comes with concerns. Private clouds are generally more expensive, but they are indeed yours. Nobody else would have access to it.

Advantages of cloud-based solutions:

  • Cost-Effective – It eliminates the capital expense of purchasing computer hardware software and setting up data centers.

  • High Speed and Performance– Most cloud computing services are available on-demand and self-service. It's available when you need it with a few clicks. It can be run on a series of servers that will increase performance.

  • Improved Reliability and Security– Cloud computing allows for multiple sites, which allows for redundancy, making built-in data backups and business continuity easier. It also has a broad set of policies and controls that strengthen the safety of your data and applications from potential threats.

Disadvantages of cloud-based solutions:

  • Vendor Lock-In – Migrating from one cloud solution can be complicated and time-consuming. Once you pick your vendor, they may not be able to fully integrate or migrate to a different cloud solution should you decide to switch.

  • Minimal Control – Since the service provider owns and controls cloud infrastructure, you have less control from a hardware perspective.

Hybrid environments are a combination of on-premise and cloud-based solutions. Many organizations turn to hybrid technology as it provides the same benefits of an on-premise environment with the additional capabilities offered with cloud applications.

Advantages of Hybrid Solutions:

  • Cost-Friendly – It allows you to determine how you want to spend your resources. If you don't have the available resource, it enables you to utilize the ones you do rather than having them sit idle.

  • Better Control – Allows you to utilize a private infrastructure for more sensitive data that you want better control over.

  • Increased Flexibility – It allows you to access the cloud when you want it. It also allows you to take advantage of fail-over systems if and when they become necessary.

  • Easy to Transition – The hybrid cloud allows you to migrate to the cloud gradually by phasing in workloads over time.

Disadvantages of Hybrid Solutions:

  • Infrastructure Compatibility – In order to accommodate both on-premise and cloud-based solutions, you may be resorting to different technologies to make it work.

  • Implementation – Setting up a hybrid cloud requires strong network capabilities, storage, and servers. Making sure that all these things are available can be costly.

Tromba Technologies lean on our decades of experience implementing different solutions. Our solutions can be customized to fit any environment that you are considering. Our TrombaAI solution is a cloud browser-based solution that can be implemented in your environment or ours. With Tromba's Intelligent Automation solution, there is only ONE vendor to contact, and that is Tromba.

FileBound products help bridge the gap between on-premise functionality and cloud capabilities regarding advanced document workflows and safe, secure storage of your data and documents. Our FileBound offerings are similarly browser based but are easily configured to be in any environment necessary. This includes access to the full ECM repository and electronic forms using FileBound Enterprise.

Tromba Technologies strives to exceed your expectations no matter the environment or requirement. We have many videos on our website, trombatech.com, and through our LinkedIn profile that highlights different industries and solutions we can provide to your business. So now that you have the facts about the environments out there, you can choose the right solution for you.

Robotic Process Automation (RPA) is foundational to any automation strategy. It can provide immense value for you and your customers if implemented properly. It automates repeatable tasks for your users. RPA can go out and gather information from multiple sources. It can update multiple data storages. RPA is necessary if you are thinking about automating any part of your technology stack.

With RPA speeding up processing times and reducing costly errors, processing costs decline, and per-employee output increases. Common savings from these efficiency improvements fall between 25% and 50%. - Omid Aslani, Director, Commercial Product Management, 7 Biggest Benefits of RPA (Robotic Process Automation) 2020

However, stopping at just RPA would be a mistake. Robotics Process Automation is not a process orchestration engine. RPA bots only follow business rules. It can't make decisions based on variable information. Where RPA robots shine is when they follow concrete rules and do repeatable tasks.

More than RPA is needed to meet the demands placed on businesses operating in a digital world. Fluid markets and changing needs in the business environment require flexible technology stacks and highly customizable and robust strategies.

Resilient enterprises know they need to be agile in order to not only survive in this new world but to flourish in it. They must be able to identify and automate as many business processes as possible. The result is an end-to-end automation that utilizes all aspects of an intelligent business platform.

A couple of areas need to be discussed when talking about transitioning from just RPA to a smart business platform. A smart business platform involves automation intelligence (AI) and other automation technologies to achieve its goals. The goals, in this case, would be creating efficiency and effectiveness to greater value for you and your customers.

One of the first areas that an intelligent business platform can utilize technology is document and data intelligence. RPA can help with this by using robots to go out and gather information from external and/or internal sources. It succeeds when looking for structured content. However, artificial intelligence software that includes cognitive capture, machine learning, and natural language processing can take your solution to the next level because a lot of data still resides on documents.

Being able to tell what the document is and then define what is essential to it is what artificial intelligence is about. You need to quickly identify what a document is, where it goes, and what data is necessary to maximize your knowledge workers' efficiency and effectiveness. It is also no longer limited to just your standard document intake anymore. It still handles applications, invoices, claims forms, purchase orders, and other industry standard forms with ease. Still, it can also be involved in handling emails from dissatisfied customers so that organizations can act quickly to address any issues.

The second area where an innovative business platform can use technology to achieve its goals is process orchestration. Through process orchestration, technology can be utilized to create and maintain advanced workflows that will get your data and documents where they need to go. Process orchestration also makes it possible to synchronize all of the automated workflows so companies can scale and manage their digital workload.

Flexibly adapting your workflows to fit your business needs is essential when trying to stay competitive. Understanding the market and then adjusting to it requires a technology that is as well. Intelligent business platforms have to be able to take complex workflows and be able to adjust them on the fly. Good platforms can and do on a daily basis.

The third area where an intelligent business platform can solve problems is data silos. Disjointed and disorganized data points cause headaches for all industries. The integration of systems can be enabled by using pre-built connectors that will transform separate data entities into a network of intelligent technologies and services.

The key to moving beyond RPA is to infuse it with artificial intelligence (AI). Why? Because

almost all business processes rely on data, and as the old adage goes: "Garbage in, garbage out." In other words, inaccurate data can cause problems in processes and workflows that hurt your ability to deliver a high-quality customer experience, your bottom line, and even your ability to comply with regulations. - RPA is Not Enough, Kofax, Q1 2022

Now that we have some steps defined in your transition, it is crucial to find a company and a product that can meet all those areas. Tromba Technologies has decades of experience analyzing, designing, and implementing automation technologies. Our TrombaAI platform is built on Kofax TotalAgility, an industry leader in automation. It leverages cognitive capture with advanced workflows and robotic process automation right out of the box. Our design tool is a lot like Vizio in look and feels, so being able to adjust those workflows to meet ever-changing needs becomes simple to achieve. We also have the ability to integrate multiple different systems through web services, custom data connectors, or out-of-the-box data integration tools.

RPA is essential for any modern automation solution. Being able to tap into its powerful abilities provides your company with the ability to maximize your automation potential. However, RPA bots have limitations in what they can do when deployed as a standalone technology. The recommended application of RPA is where RPA is a piece of a holistic, intelligent automation strategy that uses advanced technologies like artificial intelligence to business processes and workflows.
